This guide explains how Cleo organises work and who can do what.

Clients, projects, and sites

Cleo nests its work in three levels:
  • Client — the top-level grouping. Useful for a brand or, for agencies, a customer.
  • Project — a project lives under a client. Each project lists one or more sites.
  • Site — the actual website you analyse. All analyses, tools, and dashboards run against one site at a time.
Open the Clients section in the sidebar to see your clients (and View All Clients to see them in one place). Selecting a client opens its detail view, which has up to two tabs:
  • Projects (the Project & Site Management view) — each project and its sites, including URL, available scores, status, access, and owner actions.
  • Dashboard — a portfolio view (where you have access) with score trends, SEO/GEO by site, site activity, and a Team Activity summary of recent work across the client’s sites.
Click a site to open its site workspace. Its navigation is grouped into Scoreboard, Orchestration, Channels, Studio, Operations, and Resources.

How sites are added

Sites and clients are provisioned based on the plan you purchase. You do not add new sites or clients yourself from inside the app — they appear in your workspace once your plan is set up. New sites start with No Plan until they’re assigned to one. To add a new site, expand to a plan with more sites, change the domain being tracked, or set up a new client grouping, purchase the appropriate plan from the Cleo website or contact the Cleo team at contact@regencleo.ai.

Site settings

Open the site and use its Settings to update connected integrations (such as WordPress or Wix credentials), GEO configuration, and similar options. Changing the site’s URL or removing the site itself is handled by the Cleo team — contact contact@regencleo.ai if you need either.

Members and invitations

You invite teammates to your workspace, then assign them to specific projects.

Invite a member

  1. Open the workspace member list.
  2. Click Invite Member.
  3. Enter their email and pick a global role:
    • Admin — can manage workspace-wide settings and members.
    • Member — works inside the projects they are assigned to.
  4. Send the invite. They receive an email link.
If an invitation does not arrive, ask the recipient to check spam and verify the email is correct. If it still does not arrive, contact contact@regencleo.ai.

Assign someone to a project

After they accept the invitation:
  1. Open the project.
  2. Open Project Members.
  3. Click Add Member, pick the person, and choose their project role.

Project roles

Every member’s access is controlled by their project role:
  • Owner — full control of the project, including adding and removing other members.
  • Editor — runs analyses, edits content, applies fixes.
  • Viewer — read-only access. Useful for stakeholders who only need to see results.
A project must always have at least one Owner.

Change someone’s role

From Project Members, click the role next to their name and pick a new one. Changes apply immediately.

Remove someone from a project

From Project Members, click Remove. This revokes their access to that single project; they remain in the workspace.

Tips

  • Use clients to keep multiple brands or customers separate, even when one person works across all of them.
  • Give stakeholders Viewer access rather than sending screenshots — they always see the latest data.
  • Audit your member list periodically and remove people who have left.

What you cannot do from this screen

A few things are intentionally not available in the regular UI: deep workspace configuration, billing-account changes, and certain account-recovery flows. For these, contact the Cleo team at contact@regencleo.ai.
